Annual Assessment Invoice FAQs and Clarification

Annual Assessment invoices we emailed on January 30 and paper invoices were mailed on February 1. Regardless of the send date, payment is due by March 6, 2019. Thank you to all who have already paid!

Following are some of the most common questions and concerns residents have expressed along with solutions and explanations.

My Invoice Has Not Arrived

If you have not received your invoice, email sue@muirfieldassociation.com with your name, Muirfield property address and whether you would like your invoice mailed or emailed to you. If you prefer email, please confirm the email address we should be sending invoices to. We will record your preferences and send all future invoices to the mailing address or email you direct us to.

If you are on electronic communications, you might want to check your spam and deleted items or trash to save yourself time contacting us. Look for an email titled “Your Account Statement is Ready” emailed on January 30.

Payment Mailing Address

Residents have expressed concerns about mailing payments to Las Vegas, Nevada. This is not a scam; payments really should be mailed there. The Las Vegas address is the site of the payment processing center of our new bank, Alliance Association Bank (AAB), who works exclusively with HOAs and other common interest communities.

AAB was chosen as Muirfield Association’s bank for several reasons. First, AAB does not change Muirfield Association any fees to use their services. No local bank offered the same services AAB does at no cost. Money saved on fees can be used on amenities and other improvements in Muirfield. Second, AAB offers online payments that were previously not available to residents, such as eCheck, debit and credit card payment options. AAB utilizes a lockbox feature, which means payments are quickly and directly transferred from the bank’s processing center to our account. All transactions are optically recorded so they can be researched more efficiently. Third, AAB has a large, dedicated staff and state of the art equipment that can process up to 600 payments per minute while our office has one bookkeeper. Obviously, AAB can process payments more quickly and efficiently than any one person ever could.

The mailing address to send payments to is below. This address is only for annual assessment payments. Send all other payments and correspondence to the local Muirfield Association office.Read this if your bank's bill pay system will not accept the entire address.

In the near future, residents will have the ability to look up their payment status and invoices online easily. Watch for an announcement coming in the next few months!

The Payment Address Won’t Fit in My Bank’s Bill Pay System

If you are attempting to pay through your bank and cannot fit the entire payment address in there, you may shorten the address as follows:

If it still will not fit, you may abbreviate “Association”. To ensure correct processing of your payment, do not modify any other parts of the address.

How is the Assessment calculated?

The annual assessment rate is $2.20 per $1,000 of the fair market value of the property as determined on or about January 1 of each year by the County Auditor. Residents may look up their value on the county auditor's site at any point. We are looking for ways to incorporate the value on invoices in the future.

Do I Need a Members Area Account?

No. The Members Area on the Muirfield Association website has nothing to do with online payments. You cannot look up or make a payment there. Of course, all residents are welcome to use the Members Area, but it will not be helpful for paying the assessment.

I Have Questions About Charges on the Invoice

If you have questions about any charges appearing your invoice, email sue@muirfieldassociation.com with your inquiry, name, Muirfield address and lot number, which is printed on your invoice.

Do you want to run for election to the Muirfield Association Board of Directors?

There are nine members of our Board of Directors who each serve a three year term and are responsible for setting policies pertaining to the Muirfield Declaration, By-Laws, and Articles of Incorporation. They approve the annual operating budget and capital expenditures budget. The Board of Directors meets at 4:30 p.m. at the Association office on the third Thursday of every month, except December.

Three positions are expiring this year and all three incumbents, Marilee Chinnici-Zuercher, Diana Evans, and John Reiner are running for re-election.

How to Submit an Application

If you are interested in serving, submit an application online or email nominations@muirfieldassociation.com with the following information:

Once received, your application will be forwarded to the Nominating Committee and the Committee will make recommendations to the Board. Following the March Board Meeting, ballots will be e-mailed or mailed to all residents, with results announced at our April 17, 2019 Annual Meeting.

The deadline for accepting nominations is Monday, March 4, 2019 at 4:00 p.m.

Upcoming Empty Nester Events

Whether you are new or old to Muirfield Village, we invite you to join the other 170 of us who have registered to attend or be contacted about Empty Nester events. There are no dues - just attend when you can.

Over the next few months, we will have Saturday Night at The Bogey (February 23), Wine Tasting at Annie’s (March 10), Columbus Art Museum Tour & Lunch (April 11) and a special Behind the Scenes Tour of The Ohio State University’s Football Stadium and the Basketball Arena (May 9).
